The use of a photo box for employee photos
The staff in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not required on site.
You give your staff the opportunity to fully identify themselves at any time with their own employee photo.
The staff photos can be independently adapted to the appropriate format, removed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the photo can also be displayed.
After photographing the employee portrait, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a defined point on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the saved portrait with the in-house employee data set. We would be happy to help your IT department determine the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in different dimensions.
So you always have the perfect photo for

etc. ready.
Of course, each file can also be "branded" with company logos and/or the name and position of the employee will appear directly on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to get their photo as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original photo and the various sizes for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN that the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can save their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
Additional deployment options
In order to get the most out of your investment, you have the following options:

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
