What should be achieved?
The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your staff the opportunity to always identify 100% with their own employee photo.
The personal photos can be automatically cut to the best format, freed from annoying elements in the background and, if desired, saved in several formats and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in the same way as with a passport photo machine and read the instructions for the necessary actions on the display.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the photo.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can happen at the same time to some extent.

Of course, each file can also be "personalized" with logos and/or the name and position of the employee can be immediately included in the picture.

How does the employee get the picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the workforce to get their image as a file.
- Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the staff must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can copy their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various versions for the various target systems.
Alternative uses
In order to make the most of the purchase, you have the following possible uses:

The need for investment
The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is kept immediately.
