What should be achieved?
The staff in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or company canteen or HR department).
It is important that this is the case in the form of a self-service process and that extra employees are not needed on site.
You give your staff the option to always identify themselves 100% with their own employee photo.
The personal photos can be automatically adapted to the ideal format, freed from disturbing elements in the background and, if desired, saved in different shapes and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary steps on the touchscreen, just like with the passport photo machine.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read in from the employee ID card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a confirmation option for internal / external use of the image.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the name of the file. We would be happy to help your IT department define the connection.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
Image output can be synchronous in some forms.
So you always have the best photo for
the CRM system, WhatsApp & Co, Facebook, Twitter, XING, LinkedIn, Instagram
etc. within easy reach.
Of course, each file can also be “personalized” with logos and/or the name and position of the employee will appear directly on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the workforce to choose from to get their picture digitally as well.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the workforce can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download the original recording and the different formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
Additional uses
To get the most out of your purchase, you have the following options:

The need for investment
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
