What should be achieved?
The workforce in your company has the opportunity to photograph and / or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves at any time to 100% with their own employee photo.
The staff photos can be automatically adjusted to the best possible format, freed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.
Our proposed solution
You position a photo booth perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can stand in front of the photo box in a manner comparable to a passport photo machine and see the operating instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can simply be read from the employee ID. The employee data recorded in this way are then later part of the file name of the employee photo.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be displayed.
Following the photograph of the employee portrait, the background of the image can be automatically replaced with one or many of the backgrounds you have specified. The head of each photo is also found, scaled to a specified size and placed on the final image at a specified location.
The image is saved in a size and aspect ratio that you have specified (eg square for the Active Directory). A comparison is made between the photographed image and the in-house employee data record via the name of the image. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in various formats.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee can also be on the picture.

How does the photographed person get the photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the workforce can choose between three different ways to get their photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed or printed on the screen, which the staff can use to download the original recording and the various versions for the various target systems. - Entry of the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's inbox. - Download from an offline gallery via QR code
The Photo Box provides a private WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the staff can download their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
