The mission goal
The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to identify themselves completely at any time with their own employee photo.
The staff photos are automatically adjusted to the best possible format, freed from annoying elements in the background and optionally saved in different formats and aspect ratios.
A suggested solution
You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the operating instructions for the necessary steps on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the company ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the employee portrait.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and format specified by you (eg square for the Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in various formats.

etc. lying ready.
Of course, each file can also be “personalized” with logos and/or the name and position of the employee will be immediately included in the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to get their photo as a file.
- Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the various formats for the various target systems. - Download from an offline gallery via QR code
The photo box provides its own WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

In order to make the best possible use of the acquisition, you have the following possible uses:

The cost frame
The price for the purchase of such a perfected photo box starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
