What should be achieved?
The staff in your company are given the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your staff the option to fully identify themselves at any time with their own employee photo.
The staff photos can be automatically cut to the best possible format, removed from annoying elements in the background and optionally saved in various shapes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the screen, similar to the photo booth.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the business card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the recorded image and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen simultaneously in different formats.
So you always have the best possible photo for

Logically, each file can also be “personalized” with the help of the company logo and/or the name and position of the employee can appear directly on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to get their photo digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download their original photo and the different sizes for the various target systems. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN that the workforce has to dial into.
At the end of the sequence, a QR code will appear on the screen. That QR code leads to an offline gallery from which the staff can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Use at staff parties (summer party, Christmas party ...}
- Photos of groups of visitors, for example after a presentation
- Creation of biometric passport photos and ID photos
- Photo attraction at customer events & meetings
- Use at trade fairs to issue personalized “flyers”
The need for investment
The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 or more employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought directly.
