The use of a photo box for employee photos
The workforce in your company has the opportunity to create and / or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino, the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
This gives your workforce the opportunity to fully identify themselves around the clock with their individual employee photo.
The staff photos are automatically optimized to the optimum format, removed from annoying elements in the background and, if desired, saved in various formats and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees will stand in front of the photo box in the same way as a passport photo machine and see the operating instructions for the necessary actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can simply be read from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee report can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or more of the background settings you have specified. The head of each photo is also found, scaled to a specified size and positioned on the final image at a specified position.
The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved picture and the internal employee data record. We would be happy to help your IT department define the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in various dimensions.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee can be directly visible on the picture.

How does the photographed person get his picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the workforce to get their photos digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the staff can use to download the original photo and the various formats for the different target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the workforce can copy down their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
