The use of a photo box for employee photos

The workforce in your company has the option of creating and / or updating their personal employee photo at a fixed or periodically alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra staff is not needed on site.
This gives your workforce the option to fully identify themselves at any time with their individual employee photo.

The staff photos are automatically optimized to the best possible format, freed from annoying elements in the background and optionally saved in several sizes and aspect ratios.

One possible solution

You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo booth, similar to a passport photo machine, and see the instructions for the necessary actions on the touchscreen.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personal identification, name, family name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be set up.

After the employee portrait has been taken, the background of the photo can automatically be exchanged for one or more backgrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in defining the connection.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can happen synchronously in many dimensions.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee can appear directly on the picture.

How does the employee get their photo?

1. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN that the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the staff can load their photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the screen, which the workforce can use to download the original image as well as the various formats for the various target systems.

Other possible uses

In order to make the best possible use of the acquisition, you have the following options:

The need for investment

The cost of purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
