The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at periodically changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your staff the chance to identify themselves at any time to 100% with their personal employee photo.
The personal photos can be cut to the best format by machine, removed from annoying elements in the background and saved in several sizes and aspect ratios if desired.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, analogous to a passport photo machine, and see the instructions for the necessary actions on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the employee portrait can also be set up.
After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). The name of the picture is used to compare the saved photo with the in-house employee data record. We would be happy to help your IT department specify the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place synchronously in different dimensions.
So you always have the right photo for
the CRM system, XING, Twitter, WhatsApp & Co, Instagram, Facebook
etc. ready.
Logically, each file can also be “branded” with company logos and/or the employee's name and position can be included on the image.

How does the employee get his picture?
So that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the workforce to get their image as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to copy their original recording and the different sizes for the different target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code will appear on the screen. This QR code leads to an offline gallery where employees can load their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent immediately to the employee's mailbox.
Other possible uses
In order to make the best possible use of the acquisition, you have the following options:
- Creation of biometric passport photos and ID photos
- Photos of groups of visitors, for example after a tour of the company
- Use at staff parties (summer party, Christmas party ...}
- Use at trade fairs to produce personalized “flyers”
- Photo attraction at customer events & conferences
- Employee photos (as explained above)
The cost frame
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
