The mission goal
The staff in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not required on site.
You give your employees the chance to always fully identify themselves with their own employee photo.
The personal photos are automatically cut to the best possible format, freed from disturbing elements in the background and optionally saved in certain dimensions and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and read the operating instructions for the necessary steps on the display, just like with a passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be set up.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can be done synchronously in different dimensions.
So you always have the right photo for
Outlook, XING, LinkedIn, WhatsApp & Co, Instagram, Twitter, the CRM system, Facebook
etc. are available.
Of course, each file can also be "personalized" with logos and/or the designation and position of the employee can be immediately visible on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the workforce to choose from to get their picture as a file.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the sequence, a QR code will appear on the screen. The QR code leads to the offline gallery from which the staff can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is sent immediately to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original photo and the different sizes for the various target systems.
Additional deployment options
To get the most out of your investment, you have the following options:

The need for investment
The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
Customer ratings
Since the system was introduced in 2019, two systems have been set up permanently in Germany and Switzerland.
