The mission goal
The staff in your company have the option of creating and/or updating the individual employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your teams the opportunity to identify themselves completely around the clock with their personal employee photo.
The personal photos can be automatically adjusted to the ideal format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the monitor.
The monitor serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be set up.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department clarify the import interface.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place in many forms at the same time.
So you always have the best possible photo for
LinkedIn, WhatsApp & Co, XING, the CRM system, Facebook, Twitter, Outlook
etc. ready.
Logically, each file can also be “personalized” using the company logo and/or the employee's name and position can appear directly on the image.

How does the staff get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to get their photo as a file.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the workforce can use to download the original recording and the various formats for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the workforce can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
