The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at periodically changing locations (e.g. in the dining room or company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves to 100% at any time with their personal employee photo.
The personal photos are automatically cut to the best possible format, freed from annoying elements in the background and optionally saved in several sizes and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is simply read in from the company ID card. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a confirmation option for internal / external use of the image.
After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved image and the in-house employee data record takes place via the file name. We would be happy to help your IT department determine the connection.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in different sizes at the same time.

Logically, each file can also be "branded" using company logos and/or the name and position of the employee can be immediately included in the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the workforce to get their picture digitally.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the staff can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.

At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original recording and the various formats for the various target systems.
Other uses

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
