The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not required on site.
You give your staff the opportunity to identify themselves 100% with their individual employee photo.
The staff photos can be automatically cut to the appropriate format, removed from annoying elements in the background and optionally saved in many sizes and aspect ratios.
Our proposed solution
You can position a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to the photo booth and see the operating instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data is read directly from the employee ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal / external use of the employee profile.
After the employee picture has been photographed, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the picture is used to compare the picture taken and the internal employee data record. We would be happy to help your IT department define the connection.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place simultaneously in different dimensions.

Logically, each file can also be "branded" with company logos and/or the name and position of the employee can be visible on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new images, there are three different ways for the staff to get their image as a file.
- Download via QR code from an offline gallery
The Photobox provides its own WLAN that the workforce has to dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery from which the workforce can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original recording and the various formats for the different target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox.

The cost frame
The cost of purchasing such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
Customer ratings
Since the system was implemented in 2019, two photo boxes have been permanently installed in Germany and Zurich.
