The mission goal
The staff in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to identify themselves completely around the clock with their personal employee photo.
The personal photos are automatically optimized to the appropriate format, removed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
The solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary steps on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured so that the data can be read directly from the employee ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal/external use of the recording.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the photographed image and the internal employee data record takes place via the file name. We would be happy to help your IT department define the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can happen in many dimensions at the same time.
So you always have the best photo for
XING, LinkedIn, Facebook, Instagram
etc. lying ready.
Of course, each file can also be “branded” with company logos and/or the employee's name and position will be visible directly on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory can benefit from the new recordings, there are three different ways for the workforce to choose from to also receive their picture digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to copy their original recording and the different sizes for the different target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the workforce can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's e-mail address.
Alternative uses
To get the most out of your investment, you have the following options:

The cost frame
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
