The mission goal
The staff in your company have the opportunity to create and / or update their personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your workforce the chance to identify themselves to 100% around the clock with their own employee photo.
The staff photos are automatically adapted to the best format, removed from disturbing elements in the background and optionally saved in various formats and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit down in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read in from the company ID card. The information collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.
After the photo of the employee's picture has been taken, the background of the recording can automatically be replaced by one or many of the background settings you have specified. The head of each photo is also detected, scaled to a specified size and positioned on the final image at a defined position.
The photo will be saved in a size and aspect ratio that you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the captured image and the internal employee data record. We would be happy to help your IT department specify the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in several sizes at the same time.
So you always have the right photo for
LinkedIn, Instagram, Facebook, XING, the CRM system, Twitter, Outlook
etc. at hand.
Of course, each file can also be “branded” with logos and / or the name and position of the employee can be directly on the picture.

How does the employee get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the workforce to receive their picture as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the screen, which the staff can use to load their original photo and the various sizes for the various target systems. - Download via QR code from an offline gallery
The Photobox provides its own WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the workforce can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box. - Enter the email address at the end of the photo sequence.
The photo taken is then sent to the employee's email address.
Other uses

The cost frame
The price for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
