What should be achieved?
The staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to identify themselves to 100% around the clock with their personal employee photo.
The staff photos are automatically adjusted to the optimal format, freed from disturbing elements in the background and optionally saved in several formats and aspect ratios.
Our proposed solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and read the operating instructions for the necessary steps on the screen, similar to the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the employee ID card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken and the internal employee data record. We would be happy to support your IT department in specifying the connection.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take many forms at the same time.
So you always have the best photo for

Logically, each file can also be “branded” with a company logo and/or the name and position of the employee will be immediately visible on the image.

How do the staff get their picture?
To ensure that the CRM system or the Active Directory are not the only ones to get hold of the new photos, there are three different ways for the workforce to choose from to also get their photo digitally.
- Download via QR code from an offline gallery
The Photobox provides its own WLAN that the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the staff can save their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email inbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to copy their original photo and the different sizes for the different target systems.
Other deployment options
In order to make the best possible use of your investment, you have the following options:
- Use at trade fairs to issue personalized “flyers”
- Photos of groups of visitors, for example after a presentation
- Photo attraction at customer events & conferences
- Creation of biometric passport photos and ID photos
- Use at staff parties (summer party, Christmas party ...}

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
