What should be achieved?

The workforce in your company is given the opportunity to create and / or update their personal employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.

The staff photos can be independently optimized to the appropriate format, freed from annoying elements in the background and optionally saved in various formats and aspect ratios.

A suggested solution

You can place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary actions on the touchscreen.

The screen serves as a touch screen in parallel as an input terminal for the necessary data such as B. Personal identification, name, surname and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can simply be read from the employee ID. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the recording can also be set up.

After the photo of the employee portrait, the background of the photo can automatically be exchanged for one or various backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined point.

The recording is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). A comparison between the photographed image and the internal employee data record takes place via the file name. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in different dimensions.

Logically, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee will be visible on the picture.

How does the photographed person get the photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, there are three different ways for the workforce to get their picture as a file.

1. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the screen, which the staff can use to download their original photo and the different formats for the various target systems.
3. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the workforce has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery in which the staff can save their pictures. In contrast to the online gallery, this path only goes in the direct vicinity of the photo box.

The price for purchasing a photo box that has been perfected in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
