What should be achieved?
The staff in your company get the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your workforce the opportunity to fully identify themselves at any time with their individual employee photo.
The personal photos are automatically cut to the best format, freed from disturbing elements in the background and, if desired, saved in certain dimensions and aspect ratios.
A suggested solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth, similar to the photo booth, and see the instructions for the necessary actions on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is simply read in from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the photo can also be displayed.
Following the recording of the employee portrait, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. The head of each photo is also determined, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can happen synchronously in several dimensions.
So you always have the perfect photo for
the CRM system, LinkedIn, XING, WhatsApp & Co, Twitter, Facebook
etc. are available.
Logically, each file can also be “personalized” with the help of the company logo and/or the employee's name and position can be immediately included in the image.

How did the staff get the photo?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the workforce to get their photo digitally.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's email address. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the sequence, a QR code will appear on the screen. This QR code leads to the offline gallery from which the workforce can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to load their original photo and the different versions for the various target systems.
Other possible uses
In order to make the best possible use of the acquisition, you have the following options:
- Photo attraction at customer events & meetings
- Production of biometric passport photos and ID photos
- Photos of groups of visitors, e.g. after a lecture
- Employee photos (as already explained)
- Use at staff parties (summer party, Christmas party ...}
The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
