The mission goal
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the opportunity to always fully identify themselves with their own employee photo.
The staff photos are automatically adjusted to the best format, freed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.
The solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the instructions for the necessary steps on the screen, similar to the photo booth.
The screen serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can simply be read from the business card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal/external use of the employee portrait can also be set up.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can happen in several dimensions at the same time.
So you always have the right photo for
XING, LinkedIn, Facebook, Instagram
etc. ready.
Logically, each file can also be “branded” with company logos and/or the employee's name and position will be directly visible on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the employee to choose from to get their photo as a file.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The photo box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different versions for the various target systems.
Other uses
In order to get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
