What should be achieved?

The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the opportunity to fully identify themselves at any time with their personal employee photo.

The personal photos are automatically cut to the appropriate format, freed from disturbing elements in the background and saved in different formats and aspect ratios if desired.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the employee ID card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.

After the employee picture has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the file name. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in various sizes at the same time.

etc. ready.

Of course, each file can also be “personalized” with a company logo and/or the employee's name and position can be directly visible on the image.

How does the photographed person get the picture?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to get his photo as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to load his original recording and the different sizes for the different target systems.
2. Download from an offline gallery via QR code
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can copy their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.

Alternative uses

To get the most out of your investment, you have the following options:

• Recording of biometric passport photos and ID photos

The cost frame

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
