The mission goal

The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to identify themselves to 100% at any time with their individual employee photo.

The staff photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

The solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the operating instructions for the necessary actions on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo booth can also be configured in such a way that the data can be read directly from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the recording.

After the employee portrait has been taken, the background of the photo can automatically be replaced with one or various backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined location.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved portrait and the in-house employee data record. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place synchronously in several sizes.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee are directly visible on the picture.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for employees to receive their photos as a file.

1. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy down his original recording and the different formats for the various target systems.

In order to make the best possible use of the acquisition, you have the following possible uses:

The cost frame

The cost of purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
