The use of a photo box for employee photos
The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel on site are not required.
You give your teams the chance to identify themselves at any time to 100% with their own employee photo.
The personal photos can be automatically adapted to the optimal format, removed from disturbing elements in the background and, if desired, saved in various formats and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and see the operating instructions for the necessary steps on the display, just like with the passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the required data such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the photo.
After photographing the employee picture, the background of the picture can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in different sizes.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position will be immediately visible on the image.

How does the employee get the photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, the sales representative can choose from three different ways of getting his or her photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed, which the field worker can use to load his original photo and the different sizes for the different target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's e-mail inbox. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery where the sales representative can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
