The mission goal

The field staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your workforce the chance to identify themselves completely at any time with their personal employee photo.

The personal photos are automatically adjusted to the ideal format, freed from annoying elements in the background and optionally saved in different sizes and aspect ratios.

A suggested solution

You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information collected in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the recording can also be displayed.

After the employee picture has been photographed, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to help your IT department clarify the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
Image output can happen in different formats at the same time.
So you always have the best photo for
Facebook, Outlook, the CRM system, XING
etc. at hand.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How does the employee get the picture?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to copy his original photo and the various formats for the different target systems.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the worker's mailbox.
3. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the sales representative must dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the sales representative can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

• Recording of biometric passport photos and ID photos
• Photo attraction at customer events & conferences
• Use at sales force parties (summer party, Christmas party ...}
• Employee photos (as explained above)
• Pictures of groups of visitors, e.g. after a presentation

The cost frame

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
