The mission goal
The field staff in your company have the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves to 100% around the clock with their individual employee photo.
The personal photos can be automatically optimized to the best possible format, removed from annoying elements in the background and optionally saved in several shapes and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to the photo booth and read the operating instructions for the necessary actions on the screen.
The monitor is used as a touchscreen and as an input terminal for the necessary information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the employee ID card. The information recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be displayed.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and format defined by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place in parallel in various dimensions.

Logically, each file can also be “branded” with a company logo and/or the name and position of the employee can be immediately visible on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the sales representative to get his picture digitally.
- Enter the email address at the end of the photo sequence.
Then the captured photo is sent immediately to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the various versions for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the sales representative must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Additional deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
