The use of a photo box for employee photos

The field service employees in your company have the opportunity to create and / or update the individual employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% around the clock with their personal employee photo.

The staff photos are automatically optimized to the ideal format, detached from disturbing elements in the background and optionally saved in many shapes and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the screen.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, name, family name and / or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read in immediately from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Alternatively, a data protection screen can be set up with a confirmation option for internal / external use of the photo.

After the employee picture has been taken, the background of the photo can be automatically replaced with one or many background settings you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined position.

The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). The file name is used to compare the saved portrait and the in-house employee data set. We would be happy to help your IT department define the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in many sizes at the same time.

Of course, each file can also be “personalized” with a company logo and / or the name and position of the employee can be on the picture.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory can enjoy the new photos, the sales representative has three different ways to get his picture digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the screen, which the sales representative can use to download the original recording and the different versions for the various target systems.
2. Entry of the email address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's email address.
3. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN that the field service employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery in which the sales representative can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

Alternative uses

To get the most out of your investment, you have the following options:

• Creation of biometric passport photos and ID photos
• Pictures of groups of visitors, e.g. after a tour of the company
• Employee photos (as already explained)
• Use at trade fairs to produce personalized “flyers”

The need for investment

The cost of buying a photobox adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
