The mission goal
The field staff in your company get the chance to create and / or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
This gives your staff the option to always fully identify themselves with their individual employee photo.
The staff photos can be automatically adapted to the optimal format, removed from annoying elements in the background and optionally saved in different sizes and aspect ratios.
The solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to the passport photo machine, and read the operating instructions for the required actions on the touchscreen.
The monitor serves as a touch screen in parallel as an input terminal for the required data such as B. Personal identification, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The data collected in this way are then subsequently an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.
After the photo of the employee portrait, the background of the photo can automatically be replaced with one or more of the background settings you have specified. In the same way, the head is found for each photo, adjusted to a specified size and positioned on the final image at a specified position.
The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved portrait and the in-house employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can be done in several sizes at the same time.
So you always have the right photo for

etc. ready.
Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can also be visible on the picture.

How does the employee get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, the sales representative can choose between three different ways to get his picture as a file.
- Download from an offline gallery via QR code
The photo box provides its own WLAN which the sales representative has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed or printed on the screen, which the sales representative can use to download his or her original photo and the various sizes for the various target systems.

To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
