What should be achieved?
The field staff in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to identify themselves to 100% at any time with their personal employee photo.
The personal photos can be automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in various sizes and aspect ratios.
A suggested solution
You place a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the display.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can simply be read in from the employee ID card. The information recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be set up.
After the employee picture has been photographed, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can happen in parallel to different extents.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee will be directly visible on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the sales representative to receive his photo as a file.

The photo taken is immediately sent to the employee's e-mail address. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the sales representative must dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where the sales representative can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the different sizes for the various target systems.

The cost frame
The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
