The mission goal
The field staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your staff the chance to identify themselves to 100% around the clock with their personal employee photo.
The personal photos can be automatically cut to the best possible format, freed from annoying elements in the background and optionally saved in various shapes and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the human resources department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen in parallel as an input terminal for the required data, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the business card. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the recording.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image can be output in parallel in different dimensions.
So you always have the right photo for
the CRM system, Outlook, XING, Instagram, WhatsApp & Co, Facebook, LinkedIn
etc. ready.
Of course, each file can also be “personalized” with logos and/or the name and position of the employee can appear directly on the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to choose from to get his photo digitally as well.
- Entry of the email address at the end of the photo sequence.
In this case, the captured photo is sent immediately to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the sales representative has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the field service employee can use to copy his original recording and the different sizes for the various target systems.

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
