The mission goal
The field staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the option to always identify themselves 100% with their own employee photo.
The personal photos are automatically optimized to the appropriate format, freed from annoying elements in the background and optionally saved in a number of dimensions and aspect ratios.
Our proposed solution
You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be set up.
Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned at a defined point on the final image.
The recording is saved in a size and format defined by you (eg square for the Active Directory). A comparison is made between the photographed image and the internal employee data record via the file name. We would be happy to help your IT department specify the import interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen in various forms at the same time.

Logically, each file can also be “branded” with a company logo and/or the employee's name and position will also be visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory can enjoy the new pictures, there are three different ways for the sales representative to choose from to get his picture digitally as well.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN into which the field service employee has to dial.
At the end of the photo sequence, a QR code will appear on the screen. This QR code leads to the offline gallery from which the sales representative can download his pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the different versions for the different target systems.

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
