What should be achieved?
The field staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to fully identify themselves at any time with their personal employee photo.
The staff photos can be independently adapted to the ideal format, removed from annoying elements in the background and optionally saved in many formats and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth, just like with a passport photo machine, and read the instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The information recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). The name of the file is used to compare the photo taken with the in-house employee data record. We would be happy to help your IT department define the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can be synchronous in several dimensions.
So you always have the ideal photo for
Outlook, the CRM system, Instagram, Facebook, LinkedIn
etc. ready.
Logically, each file can also be “personalized” using the company logo and/or the employee's name and position will be immediately visible on the image.

How did the staff get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, the sales representative can choose between three different ways to receive his photo as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the sales representative can use to copy his original photo and the various formats for the various target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN that the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the sales representative can copy his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
Additional deployment options
To get the most out of your investment, you have the following options:
- Use at trade fairs to issue personalized “flyers”

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
