What should be achieved?
The field staff in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your employees the chance to always identify themselves 100% with their personal employee photo.
The personal photos can be automatically cut to the best possible format, removed from disturbing elements in the background and, if desired, saved in various shapes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box and see the instructions for the necessary actions on the screen, as with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read directly from the company ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Alternatively, a disclaimer screen can be displayed with a confirmation option for internal / external use of the recording.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed at a defined point on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the file name. We would be happy to help your IT department define the connection.
A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place in several dimensions at the same time.
So you always have the right photo for
Facebook, the CRM system, XING, Twitter, LinkedIn, WhatsApp & Co, Instagram, Outlook
etc. within easy reach.
Logically, each file can also be "branded" with logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get his picture?
So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, there are three different ways for the sales representative to receive his picture digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed, which the field worker can use to load his original photo and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email inbox. - Download from an offline gallery via QR code
The Photo Box provides its own WLAN which the sales representative has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
