The mission goal
The field staff in your company get the chance to create and/or update their own employee photo at a fixed or rotating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their personal employee photo.
The staff photos can be automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary actions on the screen.
The monitor serves as a touchscreen in parallel as an input terminal for the required information, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read immediately from the employee ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the photo can also be displayed.
After photographing the employee portrait, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in different sizes.
So you always have the right photo for
Instagram, Outlook, Facebook, XING, WhatsApp & Co, LinkedIn, the CRM system, Twitter
etc. lying ready.
Of course, each file can also be “personalized” using the company logo and/or the employee's name and position will appear directly on the image.

How does the photographed person get their photo?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Enter the e-mail address at the end of the photo sequence.
The captured photo is sent directly to the employee's mailbox. - Download from an offline gallery via QR code
The photobooth provides a private WLAN which the sales representative must dial into.
At the end of the recording, a QR code will appear on the screen. This QR code leads to the offline gallery in which the field worker can save his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed, which the field worker can use to load his original photo and the various sizes for the various target systems.
Other deployment options
In order to make the best possible use of the purchase, you have the following possible uses:
- Photos of groups of visitors, e.g. after a tour
- Photo attraction at customer events & congresses
- Use at sales force parties (summer party, Christmas party ...}
- Use at trade fairs to issue personalized “flyers”

The cost frame
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
Customer ratings
Since the system was implemented in 2019, two photo boxes have been set up permanently in Germany and in Zurich.
