The use of a photo box for employee photos
The field service employees in your company have the option to photograph and / or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the opportunity to always fully identify themselves with their own employee photo.
The staff photos can be automatically optimized to the appropriate format, freed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.
Our proposed solution
You position a photobox that is perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to the passport photo machine, and read the operating instructions for the required steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the employee ID. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the image.
Following the photograph of the employee portrait, the background of the recording can automatically be exchanged for one or many of the background settings you specified. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). A comparison between the photographed photo and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in parallel in many dimensions.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee will be immediately visible on the picture.

How do the staff get their picture?
So that the CRM system or the ActiveDirectory does not alone get the new pictures, the sales representative can choose between three different ways to get his picture as a file.
- Download from an offline gallery via QR code
The photobooth provides a private WLAN that the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the sales representative can use to download the original image and the different sizes for the different target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.

Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
