The use of a photo box for employee photos
The field staff in your company have the option of photographing and/or updating the personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that extra human resources staff are not needed on site.
You give your staff the opportunity to always identify 100% with their own employee photo.
The personal photos can be automatically optimized to the best format, removed from annoying elements in the background and optionally saved in several shapes and aspect ratios.
The solution
You can place a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the monitor, similar to the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a privacy screen can be set up with a sharing option for internal/external use of the photo.
After photographing the employee portrait, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen simultaneously in different dimensions.

Of course, each file can also be “personalized” with logos and/or the name and position of the employee can be immediately included in the picture.

How did the staff come to the picture?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to receive his photo as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the field worker can use to download his original image and the different sizes for the various target systems. - Download via QR code from an offline gallery
The photobox provides its own WLAN which the field service employee has to dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery from which the sales representative can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's email address.
Other deployment options
In order to make the best possible use of the purchase, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
Customer ratings
Since the system was implemented in 2019, two systems have been permanently set up in Germany and Zurich.
