What should be achieved?
The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or rotating location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their individual employee photo.
The personal photos are independently cut to the ideal format, removed from disturbing elements in the background and, if desired, saved in various sizes and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo booth and read the operating instructions for the necessary actions on the display, just like with the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the company ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department specify the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in different formats.
So you always have the best possible photo for
Outlook, LinkedIn, the CRM system, Twitter
etc. lying ready.
Logically, each file can also be “branded” with company logos and/or the employee's name and position can be directly visible on the image.

How does the photographed person get their photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for field staff to receive their photos digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the sales representative has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. The QR code leads to an offline gallery where the sales representative can download his pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the different sizes for the different target systems.

The cost frame
The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 or more employees.
Of course, there is also the option to test the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is adopted immediately.
