The use of a photo box for employee photos

The field staff in your company have the opportunity to create and/or update their personal employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
This gives your workforce the opportunity to always fully identify themselves with their own employee photo.

The staff photos can be independently cut to the best format, removed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
Similar to the photo booth, employees can sit in front of the photo box and read the instructions for the necessary actions on the touchscreen.

The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the image.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is located, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison between the saved image and the in-house employee data record takes place via the file name. We would be happy to support your IT department in determining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place simultaneously in different formats.
So you always have the right photo for
XING, Instagram, WhatsApp & Co, LinkedIn, Outlook
etc. lying ready.

Of course, each file can also be "branded" with logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to choose from to also receive his photo as a file.

1. Download via QR code from an offline gallery
   The Photobox provides its own WLAN which the field service employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where the sales representative can copy his pictures. In contrast to the online gallery, this route is only possible in the immediate vicinity of the photo booth.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to load his original photo and the different versions for the different target systems.

Other deployment options

In order to make the best possible use of your investment, you have the following options:

• Recording of biometric passport photos and ID photos
• Photo attraction at customer events & congresses
• Employee photos (as described above)
• Use at sales force parties (summer party, Christmas party ...}
• Photos of groups of visitors, for example after a presentation

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
