The use of a photo box for employee photos

The field staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional on-site personnel are not required.
You give your employees the opportunity to identify themselves to 100% at any time with their own employee photo.

The personal photos can be automatically optimized to the best format, freed from disturbing elements in the background and saved in many shapes and aspect ratios if desired.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box and read the operating instructions for the necessary steps on the screen, just like with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can simply be read from the business card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a checkbox for internal/external use of the image.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the in-house employee data record. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image can be output in many formats at the same time.
So you always have the right photo for
Outlook, Instagram, LinkedIn, the CRM system, Facebook
etc. are available.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be immediately visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the sales representative to choose from to get his photo digitally as well.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the field worker can use to copy his original recording and the different formats for the various target systems.
2. Entry of the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photobox provides a private WLAN which the sales representative must dial into.
   At the end of the recording, a QR code will appear on the screen. The QR code leads to the offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.

Customer ratings

Since the system was implemented in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
