The mission goal
The field staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at alternating locations (e.g. in the casino or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your workforce the option to identify themselves to 100% at any time with their individual employee photo.
The personal photos can be automatically adapted to the ideal format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the display.
The monitor serves as a touch screen and as an input terminal for the necessary information, e.g. B. Personnel number, first name, family name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the photo.
After the employee portrait has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to support your IT department in defining the connection.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place simultaneously in different forms.
So you always have the right photo for
XING, Facebook, Outlook, the CRM system, Twitter, Instagram, WhatsApp & Co
etc. within easy reach.
Of course, each file can also be “branded” using the company logo and/or the employee's name and position can be directly visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to choose from to get his photo digitally as well.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail address. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN that the field service employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the sales representative can copy his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original recording and the various sizes for the various target systems.
Other deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
Customer ratings
Since the system was implemented in 2019, two systems have been set up permanently in Germany and Zurich.
