The use of a photo box for employee photos
The field staff in your company get the opportunity to create and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional on-site personnel are not required.
You give your employees the opportunity to identify themselves completely around the clock with their personal employee photo.
The personal photos are automatically adjusted to the optimal format, freed from annoying elements in the background and, if desired, saved in different shapes and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a photo booth, and see the instructions for the necessary steps on the screen.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information, e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The employee data collected in this way will later become an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the recording can also be set up.
Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the interface.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image can be output in different sizes at the same time.
So you always have the right photo for
the CRM system, Facebook, Twitter, Outlook, Instagram
etc. ready.
Of course, each file can also be “personalized” using the company logo and/or the employee's name and position will be immediately visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the sales representative must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the field worker can save his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the different versions for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox.
Alternative deployment options
In order to make the best possible use of the purchase, you have the following options:

The cost frame
The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
Customer ratings
Since the system was introduced in 2019, two systems have been permanently installed in Germany and Zurich.
The system is very popular with employees at WWZ AG in CH and at Haufe Lexware.
