The use of a photo box for employee photos
The field staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees on site are not required.
You give your teams the opportunity to identify themselves to 100% around the clock with their individual employee photo.
The personal photos are automatically cut to the ideal format, removed from annoying elements in the background and optionally saved in various formats and aspect ratios.
Our proposed solution
You place a photo booth perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit down in front of the photobooth, analogously to a passport photo machine, and see the instructions for the necessary actions on the display.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. EmployeeID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read in immediately from the employee ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can be set up with a checkbox for internal/external use of the photo.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a defined point on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the file name. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in different formats at the same time.
So you always have the ideal photo for
XING, Facebook, LinkedIn, Instagram, Outlook, Twitter
etc. at hand.
Of course, each file can also be "personalized" with logos and/or the name and position of the employee can appear directly on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his picture digitally.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the sales representative has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to copy his original photo and the different versions for the different target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox.
Alternative uses
In order to get the most out of your investment, you have the following possible uses:

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
Customer ratings
Since the implementation of the system in 2019, two photo boxes have been permanently installed in this country and in Zurich.
