The use of a photo box for employee photos
The field staff in your company have the option of photographing and/or updating the personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your staff the option to identify themselves around the clock at 100% with their personal employee photo.
The staff photos can be automatically optimized to the best format, removed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.
Our proposed solution
You place a photo box perfect for employee photos in your company (e.g. in the human resources department, at the ID office or at the entrance in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is simply read in from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be displayed.
Following the recording of the employee picture, the background of the recording can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the in-house employee data record. We would be happy to support your IT department in defining the import interface.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place synchronously in various dimensions.
So you always have the right photo for
the CRM system, Twitter, LinkedIn, Facebook, XING, Instagram, WhatsApp & Co, Outlook
etc. are available.
Of course, each file can also be “branded” with a company logo and/or the name and position of the employee will appear directly on the image.

How did the staff get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Enter the e-mail address at the end of the photo sequence.
Then the captured photo is sent directly to the worker's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the sales representative can use to download his original photo and the various formats for the different target systems. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the sales representative has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Alternative uses
To get the most out of your investment, you have the following options:
- Use at sales force parties (summer party, Christmas party ...}
- Pictures of groups of visitors, e.g. after a tour
- Production of biometric passport photos and ID photos
- Employee photos (as described above)
- Use at trade fairs to produce personalized “flyers”
The need for investment
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
