What should be achieved?
The employees in your company have the option of creating and/or updating their individual employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not required on site.
You give your staff the chance to identify themselves 100% with their individual employee photo.
The staff photos can be automatically adapted to the appropriate format, freed from annoying elements in the background and, if desired, saved in several formats and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The data collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photo taken and the internal employee data record via the name of the picture. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different forms at the same time.
So you always have the right photo for

Of course, each file can also be “branded” with logos and/or the name and position of the employee can be immediately included in the picture.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose from to get their picture digitally as well.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download their original photo and the various versions for the different target systems.
Other deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
