What should be achieved?
The employees in your company get the chance to take a photo of their personal employee photo and/or update it at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to always identify themselves to 100% with their individual employee photo.
The personal photos are automatically cut to the ideal format, interfering elements are removed from the background and optionally saved in various dimensions and aspect ratios.
A suggested solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and see the instructions for the necessary actions on the touchscreen, similar to the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal/external use of the image.
After the employee portrait has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can happen in different forms at the same time.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose from to get his picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different formats for the various target systems. - Download via QR code from an offline gallery
The photobox provides its own WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's email address.
