The use of a photo box for employee photos

The employees in your company get the opportunity to create and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional human resources staff are not needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their own employee photo.

The staff photos can be automatically adapted to the appropriate format, freed from disturbing elements in the background and, if desired, saved in many dimensions and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the monitor, similar to the photo booth.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the recording can also be displayed.

After photographing the employee portrait, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned in a specified position on the final image.

The recording is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photo taken and the internal employee data record via the name of the picture. We would be happy to help your IT department determine the interface.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can happen simultaneously in several dimensions.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will be visible directly on the image.

How does the employee get his picture?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose from to get his photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
2. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's email address.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download their original photo and the various versions for the different target systems.

Alternative deployment options

In order to make the best possible use of your investment, you have the following options:

The need for investment

The cost of purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
