What should be achieved?
The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the chance to always identify themselves to 100% with their personal employee photo.
The staff photos can be independently optimized to the right format, freed from annoying elements in the background and optionally saved in a number of sizes and aspect ratios.
One possible solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the display, just like with the photo booth.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee report can also be set up.
After the employee portrait has been photographed, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). The name of the picture is used to compare the photo taken with the in-house employee data record. We would be happy to help your IT department define the import interface.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can be in different dimensions at the same time.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can also be visible on the image.

How does the employee get his photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to receive their photo as a file.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The captured photo is sent immediately to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to load their original photo and the various sizes for the various target systems.

The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
