The use of a photo box for employee photos
The employees in your company get the opportunity to create and/or update their individual employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional staff are not needed on site.
This gives your staff the opportunity to always fully identify themselves with their individual employee photo.
The staff photos can be automatically optimized to the optimal format, freed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.
The solution
You place a photo booth optimized for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the monitor, as with the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the employee portrait can also be set up.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in various forms at the same time.

Logically, each file can also be “personalized” with company logos and/or the name and position of the employee can appear directly on the image.

How does the employee get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, there are three different ways for employees to get their image digitally.

The photo taken is sent immediately to the employee's mailbox. - Download from an offline gallery via QR code
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download their original photo and the various formats for the various target systems.

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
