The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to always fully identify themselves with their own employee photo.
The personal photos are automatically adjusted to the best format, irritating elements are removed from the background and, if desired, saved in many sizes and aspect ratios.
A suggested solution
You place a photo booth perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box and read the instructions for the necessary actions on the display, in a manner similar to that of a passport photo machine.
The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The data recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a sharing option for internal / external use of the photo.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photo taken and the internal employee data record via the name of the file. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can happen in several sizes at the same time.
So you always have the right photo for
XING, Outlook, WhatsApp & Co, Twitter, Facebook
etc. lying ready.
Of course, each file can also be "branded" with company logos and/or the designation and position of the employee will be immediately visible on the image.

How does the employee get his photo?
So that the CRM system or Active Directory alone does not get hold of the new pictures, there are three different ways for employees to get their picture as a file.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo will be sent directly to the employee's email inbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download the original photo and the different versions for the different target systems.
Alternative deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Pictures of groups of visitors, e.g. after a tour
- Employee photos (as described above)
- Photo attraction at customer events & meetings
- Production of biometric passport photos and ID photos
- Use at trade fairs to issue personalized “flyers”
The need for investment
The investment for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the possibility to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
