The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your employees the option to identify themselves to 100% around the clock with their own employee photo.
The personal photos can be automatically optimized to the ideal format, removed from annoying elements in the background and, if desired, saved in many sizes and aspect ratios.
Our proposed solution
You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to the photo booth and see the instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the employee ID card. The data collected in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the image can also be displayed.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). The file name is used to compare the photograph taken with the in-house employee data record. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can be done synchronously in different dimensions.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee can be included in the image.

How does the employee get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to get their photo as a file.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various formats for the different target systems. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the employee can copy their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

To get the most out of your investment, you have the following options:

The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and thus pays off for organizations with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
