The use of a photo box for employee photos

The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their personal employee photo.

The staff photos are automatically optimized to the ideal format, freed from disruptive elements in the background and, if desired, saved in many dimensions and aspect ratios.

The solution

You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo booth in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read directly from the employee ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.

After the employee picture has been taken, the background of the picture can be automatically exchanged for one or many of the background settings you specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a specified location.

The image is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved portrait and the internal employee data record. We would be happy to help your IT department specify the import interface.

A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in different sizes at the same time.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee can be visible on the picture.

How does the photographed person get his picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, there are three different ways for employees to receive their photos digitally.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the employee can load his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to load his or her original photo and the various formats for the various target systems.

Additional deployment options

In order to get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
