The use of a photo box for employee photos

The employees in your company are given the opportunity to photograph and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not required on site.
You give your employees the option to identify themselves at any time to 100% with their individual employee photo.

The staff photos are automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in many shapes and aspect ratios.

Our proposed solution

You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There the employees will sit down in front of the photo box, similar to the passport photo machine, and read the operating instructions for the necessary actions on the display.

The screen serves as a touch screen in parallel as an input terminal for the required information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read in immediately from the employee ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee profile can also be set up.

After the employee portrait has been taken, the background of the picture can automatically be replaced with one or various backgrounds that you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a specified location on the final image.

The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed portrait and the internal employee data record. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in different sizes.

Of course, each file can also be “branded” with company logos and / or the name and position of the employee can be on the picture.

How does the photographed person get his picture?

So that the CRM system or ActiveDirectory alone does not benefit from the new recordings, employees have three different ways of receiving their photo as a file.

1. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the employee can load his pictures. In contrast to the online gallery, this way only works in the direct vicinity of the Photo Box.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his or her original photo and the different sizes for the various target systems.

Other deployment options

To get the most out of your investment, you have the following options:

• Use at employee parties (summer party, Christmas party ...}
• Photos of groups of visitors, e.g. after a tour of the company

The need for investment

The cost of purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
